  • FAQ – mobility for teaching

Who can participate in this kind of mobility?

Every person who belongs to the academic teacher category (i.e. the MUB staff employed on didactic, scientific-didactic or scientific positions, also under civil law contracts, with the fact that the agreement’s termination date cannot be sooner than the mobility end date) can participate in the mobility for teaching.

What documents should I submit to enter the recruitment process for the mobility for teaching?
    1. Application form for the mobility for teaching (Appendix no 5 to Regulations on the outgoing mobilities),
    2. Mobility Agreement for teaching,
    3. A Letter of intent.
What documents should I submit after being qualified for a mobility by the Erasmus+ Programme Commission?
    1. Bank account details,
    2. EHIC card copy,
    3. Insurance policy copy,
    4. (if applicable) “Green travel” declaration (Appendix no 11 to Regulations on the outgoing mobilities).
Who are the members of the Erasmus+ Programme Commission?

The Erasmus+ Programme Commission consists of:

    1. The Vice-Rector for Education (President of the Commission),
    2. The Dean/appointed Vice-Dean of the relevant Faculty
    3. Institutional or Departmental Coordinator of the Erasmus+ Programme.
On the basis of which document will the scholarship be paid?

The scholarship will be paid based on a trilaterally signed Grant Agreement and based on the data provided in the Bank account details.

In which currency should the bank account (indicated in the “Bank account details”) be maintained?

We ask you to indicate a bank account maintained in EURO, due to the fact that the scholarship is paid in that currency. Indicating an account in Polish Zloty or other currencies may cause discrepancies between the amount of scholarship a student is entitled to and the amount paid after currency conversion.

It is also possible to indicate a multi-currency account, such as REVOLUT.

What is the “green travel” top-up?

“Green travel” means travelling with the use of sustainable, low-emission means of transport, such as bus, train or car-pooling. As a part of the “green travel” top-up, a participant is entitled to additional 50 EUR payment. To receive the top-up, it is necessary to submit a fitting declaration before and after the mobility (Appendix no. 11 and no. 12 to Regulations on the outgoing mobilities).

What is an exemplary calculation of the amount of the scholarship in the case of mobility for teaching?

    Example

Type of mobility: mobility for teaching
    Date: 01.01.2023 – 21.01.2023 r.
    Number of days: 20
    Destination: Berlin, Germany
    Means of transport: Plane

    Calculation:
20 days – duration of the mobility
160 EUR – daily scholarship rate in case of travelling to Germany (till the 14th day of the mobility)
112 EUR – the scholarship from the 14th to the 60th day of the mobility
275 EUR – lump sum for travel expenses, calculated according to the Distance calculator:
    https://erasmus-plus.ec.europa.eu/resources-and-tools/distance-calculator

    Result: 160 EUR x 14 days + 112 EUR x 6 days + 275 EUR = 3187 EUR

What documents should I submit / formalities should I complete after I am back from my mobility?
    1. Confirmation of Erasmus Staff Mobility for Teaching (Appendix no 16 to Regulations on the outgoing mobilities),
    2. It is necessary to fill in the online Survey available in the system,
    3. “Green travel” declaration after the mobility (if applicable),
    4. It is required to submit documents necessary for finalising a work trip to the International Cooperation Department.
What documents should I submit to be entitled to training leave for the time of my mobility?

Apart from the fact that your mobility is organised within the framework of the Erasmus+ Programme, there are some formalities concerning the work trip that has to be completed. Foreign trips are regulated by the Order no. 100/2021 by the Rector of the Medical University of Bialystok of September 22, 2021 concerning foreign trips of MUB’s staff, PhD students and students. Due to this fact, apart from the Erasmus+ Programme documents, it is also necessary to submit (to the International Cooperation Department) the following documents concerning a work trip:

    1. Foreign trip application (before leave)
    2. Foreign trip settlement (after leave).

These documents are available at: https://www.umb.edu.pl/en/dzial_wspolpracy_miedzynarodowej/wyjazdy_zagraniczne

From which day of the mobility will the scholarship be counted? If I will go 4 days earlier than agreed, will I receive funding for this additional period?

Concerning academic teachers: the start date of the mobility period is the first day of the training at the receiving institution.
According to the regulations on MUB’s staff’s travels abroad, you are entitled to 2 days for travel (1 day for arriving and 1 day for departing) and for accommodation but they will not be counted will calculating the scholarship.

When will I receive the scholarship?

Within 30 days from signing the Grant Agreement, but no later than on the first day of the mobility, the scholarship will be paid. If a participant won’t submit the required documents within the deadline, a later payment will be accepted.

How much time before the mobility should I submit the documents?

The optimal date for submitting the documents is minimum one month before the planned mobility. It is a sufficient period of time to convene the Erasmus+ Programme Commission, gather the necessary documents, sign the Grant Agreement and receive the scholarship.

In exceptional cases, application with a shorter deadline shall be accepted. However, we kindly ask you to submit the documents sufficiently in advance.

Is there a mobility limit for academic teachers?

Yes, from the year 2022/2023 the limit of the mobilities within one financial agreement is two mobilities per person.

Can I go for a mobility for teaching to a different institutions than those presented in the scholarship offer?

Yes. In the first instance, the MUB has to conclude an interinstitutional agreement with the receiving institution. To do so, it is necessary to write a request for consent to the Rector to conclude such agreement. If the Rector grants the approval, the agreement will be consulted with the Institutional Coordinator of the Erasmus+ Programme and the Dean of the relevant faculty. Then, the agreement will be sent to be accepted by the receiving institution and the terms of the agreement will be determined.

How many hours of classes should be carried out at the receiving institution during the mobility for teaching?

The didactic activity must cover at least 8 hours a week (or in any shorter period of mobility, if it’s not shorter than 2 days). If the mobility lasts longer than one week, the minimum number of didactic hours should be proportional to the duration of such week. If the didactic activity is combined with a teaching activity during one stay abroad, the minimum number of didactic hours a week is limited to 4.
